What To Expect And How To Prepare

I believe it’s important for everyone to understand why inspections exist and the part they play in this industry. They’re not just a box we have to tick, they protect tenants, owners, and the property itself. If you’d prefer to skip straight to the preparation tips, simply scroll down. 

Why We Do Inspections

Routine inspections are part of every tenancy. They’re not about catching you out — they’re to make sure the property is safe, well-maintained, and that any repairs are dealt with early before they turn into bigger issues. We aim to make the process simple, respectful, and as stress-free as possible.

How Often Inspections Happen

We carry out inspections roughly every three months. You’ll always receive notice at least 48 hours in advance, and we’ll confirm the date and time window. You don’t have to be there, but you’re welcome to attend. 

We Don’t Love Doing Inspections

They’re part of our agreement with owners and part of their insurance requirements. What we do appreciate is seeing tenants settled in and taking good care of their homes. When time allows, it’s nice to have a quick chat and see how things are going, but the main focus is to make sure everything at the property is in good shape. We know most tenants don’t enjoy them either, and honestly, many of our tenants look after their homes so well that inspections wouldn’t even be necessary if not for obligations.

Why Preparation Helps Everyone

I want to cover this before going over how to prepare, because the why is just as important as the what... When a property is tidy and easy to move through, it allows us to do a proper job. We’re not just walking through with a phone we’re checking that everything is safe, working as it should, and in line with the owner’s and insurer’s obligations.

A clean and organised space means we can:

  • Spot maintenance issues quickly. If benches, floors, and fittings are visible, we can pick up on leaks, cracks, or damage before they get worse.
  • Record accurate information. We take photos during inspections, so a tidy home helps keep records clear and fair to you.
  • Spend less time on-site. The easier it is to see everything, the faster we can finish, which means less disruption for you.
  • Help you avoid unnecessary follow-ups. If everything looks in order, there’s no need for us to come back or send reminders.

We don’t expect perfection — just enough order for us to do our jobs properly and keep the property safe and compliant. When tenants prepare even a little, it makes the process smoother, quicker, and fairer for everyone.

Inspection Preparation Tips

Include as much information as you can, and photos are always helpful if possible.

A bit of preparation before an inspection helps things run smoothly for everyone. It allows us to do a thorough job, keep your records accurate, and spend less time at the property.

Outside the Property

If these areas are part of your responsibility under the tenancy agreement, please make sure they’re tidy before inspection day:

  • Mow lawns and trim any edges, ensure lawn clippings are removed from the property. 
  • Remove weeds from garden beds, paths, and paved areas.
  • Sweep verandas, patios, driveways, and carports.
  • If your tenancy agreement allows pets, please remove droppings before inspection.
  • Dogs must be safely restrained while we’re on-site.

Inside the Property

A quick tidy-up makes it easier for us to check everything and spot any maintenance issues early.

  • Vacuum carpets and mop hard floors.
  • Clean the bathroom mirror, vanity, basin, bath, and shower.
  • Wipe and clean the toilet, including the seat and base.
  • Clean inside windows (and outside where safe to reach).
  • Remove mould or mildew from window frames.
  • Clean the oven, grill, trays, and stovetop, including the control panel.
  • Wash rangehood and exhaust fan filters.
  • Wipe kitchen benches, cupboard doors, and splashbacks.
  • Dust light fittings and remove any insects if needed.
  • Wipe off hand marks on walls, doors, and around switches.
  • Check smoke alarms — if one is beeping or needs a battery, please let us know straight away.

We don’t expect perfection, but being organised helps us get the job done faster and more accurately.
When tenants prepare, it saves time, avoids repeat visits, and helps keep the property safe and well cared for. It’s also important to remember that this is your home. We understand that people live here — and that means life happens.
We don’t expect you to remove or hide every trace of normal living. We know this is your home and we respect that.
Our focus is on the overall care of the property, not whether your home looks staged.

After the Inspection

Once your inspection is complete, we’ll record the property’s condition and note any maintenance items that need attention.

If repairs are required, our tradespeople may contact you directly to arrange access or confirm details. If you’re ever unsure about anyone contacting you, please email your property manager to confirm it’s legitimate.

You’ll often receive an email from us letting you know when maintenance has been arranged and who to expect. Inspection reports are shared with the property owner to keep them updated on how their property is being cared for.

If you list us as a reference when applying for a new home, we may refer to previous inspection reports when providing feedback. This helps ensure information is fair, accurate, and reflects the genuine condition of the property during your tenancy. You’re also welcome to contact us to request a copy of your rent history to provide alongside your application for a future property.
